Sheet 6/12 · Medium · 3–10 weeksInvoices wait for one person, EcoCash and bank lines are matched by hand, month-end takes a week.
- Supplier invoices arrive as photos on WhatsApp and are typed into the accounting package days later.
- EcoCash, bank and cash receipts are reconciled by eye against a sales sheet.
- Fiscal invoices are issued in a rush at month-end; buyer details are sometimes missing.
- Two currencies, one ledger, and a rate that changed between the quote and the payment.
- Management sees the numbers three weeks after the month ends.
- Read supplier invoices, receipts and statements (photos or PDFs) into structured lines for review — supplier, date, amount, currency, VAT.
- Match payments to invoices across bank, EcoCash and cash exports, and list the unmatched ones for a person.
- Prepare the data for a fiscal invoice (buyer name, address, TIN, VAT number) so the fiscal device is fed correctly.
- Draft the month-end pack from the ledger once the ledger is current.
- Issue a fiscal tax invoice itself. That is the fiscal device's job under ZIMRA's Fiscalisation Data Management System; the AI stops at preparation.
- Decide currency treatment or exchange gains and losses — your accountant sets the policy, the AI applies it.
- Read a blurry photo of a crumpled invoice reliably; capture quality sets the accuracy ceiling.
- Replace an accountant. It removes typing, not judgement.
| Effort band | Medium · 3–10 weeks |
|---|---|
| Data you need | Sample supplier invoices (200+); bank and EcoCash exports; chart of accounts; customer TIN/VAT records |
| Integration points | Accounting package; bank/EcoCash exports; fiscal device / FDMS |
| People | Accountant as reviewer and policy owner; bookkeeper as operator |
| Measure | Days from invoice receipt to posting; % lines auto-matched; month-end close days |
| Zimbabwe constraint | ZIMRA FDMS buyer details and QR since 31 May 2025; ZiG/USD dual books; EcoCash settlement files |
| Code | Shape | Fit | Why |
|---|---|---|---|
| S-02 | Pilot | Primary | Two hundred real supplier invoices through extraction; measure fields right first time. That number decides everything. |
| S-04 | Integration | Primary | Bank/EcoCash exports, the accounting package and the fiscal device are the endpoints; the AI is the glue. |
| Tool | Listed platform with fiscalisation and invoice generation | Secondary | For a small trader, a subscription that issues FDMS-compliant invoices and tracks expenses may be the whole answer. |
| S-03 | Implementation | Secondary | Matching rules, approval flows, dual-currency handling and the review screen built for your accountant. |
| S-06 | Managed support | Later | Bank export formats and ZIMRA requirements change; someone must keep the pipes open. |
- How does the flow produce fiscal tax invoices — through which fiscal device or virtual fiscal device, and who is responsible when FDMS rejects one?
- Show extraction on twenty of our own supplier invoices, including a WhatsApp photo, and tell us the field-level accuracy.
- How are ZiG and USD amounts stored, which rate is used, and where does the accountant set the policy?
- Which accounting package do you connect to, by which method, and what happens if the export format changes?
- What does the review screen look like — can our accountant see every extracted field next to the source image before it posts?
- Where are our invoices and statements stored, in which country, and for how long?

The fiscalisation line
Since 31 May 2025 every fiscal tax invoice, debit note and credit note must be transmitted through an upgraded fiscal device to ZIMRA’s Fiscalisation Data Management System with the buyer’s name, address, TIN, contact details and VAT number where applicable, and must carry a verifiable QR code; input-tax claims are only accepted on compliant invoices. Any AI finance service therefore sits on one side of that line or the other:
| Side | What AI does | Who is accountable |
|---|---|---|
| Before the device | Prepares buyer details, line items, currency; validates TIN format; drafts | Your bookkeeper reviews |
| The device | Issues, signs and transmits the fiscal invoice | Fiscal device supplier / your registration |
| After the device | Reads issued invoices and receipts into the ledger; matches payments; prepares the pack | Your accountant |
A vendor who offers an “AI invoicing tool” must say which side it is on. If it claims to issue invoices, ask which fiscal device it drives.
Matching, honestly measured
Automated matching between your sales list and the EcoCash and bank exports typically clears the clean, same-amount, same-day lines; what remains is the interesting part — partial payments, bundled transfers, rate differences on ZiG receipts. The pilot should report the unmatched rate on a real month, and the review screen should show a person those lines with the candidates the system considered. A demo that shows 100% matched was run on invented data.
